Oxford United Soccer Club ("Oxford United," "we," "us," or "our") operates a mobile and web application (the "App") that helps our club manage teams, schedules, rosters, communications, and an online shop. This Privacy Policy describes what information we collect and how we use it.
Account Information
When you create an account, we collect your name, email address, and a password (stored in hashed form by our platform provider). Google Sign-In may be used, in which case Google shares your basic profile details with us.
Parent & Player Data
We maintain team rosters that may include parent/guardian name, email address, phone number, and the player's name, birthdate, jersey number, position, and photograph. Much of this information is synced from TeamSnap, our team-management partner.
Tryout Registrations
When you register a player for tryouts, we collect parent/guardian name, email, phone, the athlete's name, birthdate, gender, prior club experience, and any optional notes you provide.
Shop Orders
When you make a purchase in our shop, we collect your name, email, phone number, shipping address, and payment information. Payment details are processed by Square; we do not store full card numbers.
Messages & Broadcasts
Messages, team channel conversations, and broadcast announcements you send or receive are stored so they can be delivered to the intended recipients.
Photos & Gallery
Photos and videos uploaded by club administrators may appear in the public gallery and homepage slideshow. Player photos may be restricted to verified parents/guardians at the club's discretion.
Calendar & Availability
We display team events (games, training, tournaments) and, where applicable, collect RSVP/availability responses from parents.
Usage Data
We automatically collect standard technical data such as device type, app interactions, and log data to keep the App secure and functioning.
2. How We Use Your Information
We use the information we collect to:
• Operate, maintain, and improve the App and its features;
• Manage teams, rosters, schedules, and communications;
• Process shop orders and deliver purchases;
• Send you broadcasts, reminders, and updates about club activities;
• Verify parent/guardian relationships for photo and data access;
• Comply with legal obligations and enforce our policies.
3. Children's Privacy
The App is designed for use by parents and guardians on behalf of youth players. We collect limited personal information about minors (such as name, birthdate, jersey number, and photograph) solely for team management and club operations, with the consent of a parent or guardian who creates the account or submits the registration. If you believe we have collected information from a child without verifiable parental consent, please contact us using the details below and we will promptly delete it.
4. How We Share Your Information
We do not sell your personal information. We share information only as follows:
• Service Providers — We use third-party services to operate the App, including Square (payments), TeamSnap (rosters/schedules), Google (authentication and calendar), and our hosting platform. These providers process data on our behalf under their own privacy policies.
• Order Fulfillment — We share relevant order details with our fulfillment partners so purchases can be delivered.
• Legal Compliance — We may disclose information when required by law, court order, or to protect our rights and safety.
• Club Operations — Authorized club administrators and coaches may access roster, schedule, and message data necessary for running the club.
5. Data Retention
We retain your information for as long as your account is active or as needed to provide our services. Roster and registration data may be retained for historical and administrative purposes even after a player leaves the club, in accordance with our records policy. You may request deletion of your data at any time (subject to legal or operational requirements) by contacting us below.
6. Your Privacy Rights
Depending on your location, you may have the right to access, correct, or delete the personal information we hold about you, and to object to or restrict certain processing. To exercise any of these rights, contact us using the details below. We will respond in accordance with applicable law.
7. Data Security
We use reasonable technical and organizational measures to protect your information, including encrypted transmission (HTTPS), role-based access controls, and secure storage of credentials. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Third-Party Links & Services
The App contains links to third-party websites and integrates with services such as Square, TeamSnap, and Google. We are not responsible for the privacy practices of these third parties; we encourage you to review their privacy policies.
9. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you through the App or by other means. The "Effective Date" above indicates when this policy was last revised.
